2. Clients Records and Treatments Documentation
Each client of the salon has a client record stored in an electronic system.
The clients record may include:
- full name
- contact details
- information relevant to treatment safety (e.g. medical conditions, allergies, contraindications)
- history of treatments performed
- aftercare notes
Client records are updates at every visit.
3. Form of Data Storage
Client data is stored exclusively in an online system, secured with password protection and accessible only to the salon owners/ authorised staff.
The salon is not required to keep paper records, provided that electronic records are complete, accurate and securely stored.
4. Purpose of Data Processing
Personal data is processed solely for the purpose of:
- providing beauty treatments
- ensuring treatment safety
- maintaining treatment and visit history
- contacting clients (e.g. appointment confirmations)
- meeting legal and insurance requirements.
5. Data Retention Period
Client data is retained for a minimum of 5 years from the date of the last appointment, unless legal or insurance requirements require a longer retention period. Data relating to minors may be retained for a longer period in accordance with applicable regulations.
6. Clients Rights
Clients have the right to:
- access their personal data
- request correction of their data
- request restriction of processing
- request deletion of their data (where there is no legal obligation to retain it)
To exercise these rights, clients may contact the salon directly.
7. Confidentiality and Data Security
The salon is committed to maintaining full confidentiality of client data. Personal data is not shared with third parties unless required by law or insurance conditions.
8. Photography and Social Media
The salon may take photographs or videos of treatments for documentation, marketing, or social media purposes.
Any images or videos shared on the salon's website or social media profiles will be used only with the client's prior consent.
Clients have the rights to review and approve the images before publication and may withdraw their consent at any time.
9. Cancellations and No- Shows
Clients are kindly requested to provide at least 24 hours' notice for appointment cancellations or rescheduling.
Failure to cancel o reschedule within this time frame may result in a cancellation fee or loss of deposit.
Clients who do not attend their appointment without prior notice (no- shows) may be required to pay the full treatment cost or a deposit for future bookings.
10. Packages Policy
- full payments is required at the time of purchase
- packages are non- refundable and non- transferable
- treatments must be spaced according to the recommended intervals to ensure safety and effectiveness:
Skin/ Anti Ageing Treatments minimum 4 weeks between sessions
Lash Lift & Brow Lamination minimum 6-8 weeks between sessions
- Package validity:
3 treatments Skin/ Anti- Ageing packages valid for 4 months
6 treatments Skin/ Anti- Ageing packages valid for 8 months
3 treatments Lash Lift & Brow Lamination valid for 8 months
- a minimum of 24 hours' notice is required to cancel or reschedule an appointment
- late cancellations and missed appointments will be counted as used treatments
- treatments within a package may be adjusted based on skin condition and professional recommendation
- all treatments are subject to consultation and suitability
- packages are valid for one person only
11. Client Consent
By using the salon's services, the client confirms that they:
- have read and understood this policy
- consent to the processing of their personal data to the extent necessary to perform treatments.
12. Final Provisions
The salon reserves the right to update this policy.
